School Toy Procurement: A Checklist for Egypt

If you are buying toys for an organisation in Egypt, start with the intended use before quantities. This guide gives the selection and purchasing team practical steps, examples from Kiddil’s catalogue and ways to trial a routine with materials you already have.

Give each line a product identity

A useful purchase request identifies the exact product link or name, its intended age group, units requested and the activity it will serve. Keep a separate note for optional alternatives. A broad line such as “twenty educational games” leaves room for mismatched ages, different editions and an unclear comparison between suppliers.

Before approving a quote, compare contents as well as the photograph: piece count, base or accessories, challenge cards and any stated player count. Confirm whether “quantity” means complete boxed sets or individual components. Buying decisions should use the current written product description and package guidance, not an attractive rendering alone.

Separate the budget from assumptions

For each line, record requested units and confirmed unit price, then calculate the line total. Keep delivery and any agreed extras separate so finance can compare complete totals. If your budget is a ceiling, say whether it includes delivery. Do not treat retail cart prices as a promise that a larger quantity is available or that a bulk discount will apply.

Ask for the invoice or purchasing-document format your organisation requires before approval. Any particular tax-document capability, payment timing, account terms or purchase-order process needs confirmation from the supplier. This is a practical purchasing checklist, not an assertion about Kiddil’s tax-registration status or a substitute for your finance team’s requirements.

Agree substitutions and delivery in writing

Name the delivery city, preferred date and a responsible adult contact for the handover. Distinguish a preferred event date from a confirmed delivery commitment. Ask when the quoted availability and price will be checked again if approval takes time. A school opening or event deadline should not depend on an assumed retail delivery window.

Write down which alternatives need fresh approval and what differences matter: age, contents, language, activity type and price. If an exact matching set is needed across classrooms, say so before ordering. A collection of visually similar boxes is not necessarily the same edition or an interchangeable classroom resource.

Use a receiving and storage check

At handover, compare the boxed sets with the approved list and record any shortage or visible damage. Check package ages and instructions before releasing sets to classrooms. Retain the order reference and relevant packaging information so a reported problem can be identified. Use Kiddil’s published contact and returns information for support rather than inventing a separate school policy.

Before the first session, agree where complete sets are stored, who checks missing or damaged pieces and how unsuitable materials stay out of younger children’s reach. CPSC’s toy guidance supports following package ages and keeping small parts away from under-threes; it does not certify a particular set or specify Egyptian institutional purchasing rules.

Examples from the current catalogue

Check the exact listing and package; bulk quantity availability is confirmed separately from ordinary online availability.

Package ages and safety instructions take priority. Small-parts toys are not a default choice for children under three, and supervision does not change an age label. The institution must assess activity suitability, supervision and storage; a listing is not commercial-use certification or a guaranteed learning outcome.

Questions before choosing

Can the request include a fixed total budget?

Yes. State whether it includes delivery and identify essential versus optional items. Exact items and commercial terms still need written confirmation.

Should a replacement product be accepted automatically?

Check its package age, contents, activity and price first. Agree substitutions explicitly when those differences affect your planned use.

Prepare a useful enquiry

Quantities, final pricing, payment arrangements, delivery cost and timing are confirmed in writing before approval. Online prices are for ordinary store purchases, not an automatic wholesale quotation. Include any purchasing-document or invoice-format requirements before confirming an order.
